AutOS

Terms of use

Agentic System Ltd · Effective 12 October 2026

Privacy notice

These terms are between Agentic System Ltd("we", "us") and the workshop business that uses AutOS("you", "your workshop"). By signing in or using AutOS on behalf of a workshop, you agree to these terms. If you do not agree, do not use the service.

Customers who use a workshop's public booking, approval, or status pages are dealing with that workshop about their vehicle or job. Those pages are not a separate contract with Agentic System Ltd beyond this notice and our privacy notice.

The service

AutOS is cloud software for automotive workshops: bookings, jobs, customers, vehicles, parts inventory, invoicing, reminders, and AI-assisted drafting. We may add, change, or remove features. We will try to give reasonable notice of changes that materially affect how you rely on the product.

Your responsibilities

  • The workshop owner controls who receives a login and what staff can do in the app.
  • You are responsible for the accuracy of customer, vehicle, job, and invoice data you enter, including GST amounts (15% for New Zealand workshops and 10% for Australian workshops as calculated in the app).
  • You must have a lawful basis to collect and store personal information about your customers and staff, and to send them emails or links from AutOS.
  • You must keep passwords and sign-in details secure and tell us promptly if you suspect unauthorised access.

Your data and our IP

You retain ownership of the business data you put into AutOS (customers, vehicles, jobs, invoices, and related records). You grant us a licence to host, back up, and process that data only to provide and improve AutOS, secure the service, and comply with law.

AutOS software, branding, documentation, and design remain our intellectual property. These terms do not give you ownership of our code or trademarks.

AI and automation

AI-generated invoice lines, summaries, and command-bar results are drafts only. Your staff must review them before sending to customers or relying on them for pricing or compliance.

Optional Gmail connection is limited to scanning supplier purchase-order email you authorise. You can disconnect Gmail at any time in Settings.

Acceptable use

You must not:

  • Access or attempt to access another workshop's data.
  • Disrupt AutOS, probe systems without permission, or introduce malware.
  • Use AutOS for unlawful purposes or to send spam.
  • Reverse engineer or resell the service except as we agree in writing.

We may suspend access if you seriously breach these terms or if we must protect the service or other users.

Fees

Fees for AutOS, if any, are set out in our agreement with you outside these public terms. Nothing on this website is a binding price quote. AutOS does not process card payments from your customers; payment methods on invoices are labels for your records only.

Availability and third parties

We aim to keep AutOS available but do not guarantee uninterrupted access. Sign-in (Firebase), email (Resend), AI (OpenAI), hosting (Vercel), and database (Neon) depend on third parties and may fail from time to time.

Disclaimer and liability

AutOS is supplied for business use. To the extent permitted by New Zealand law, we exclude all implied warranties. We do not exclude liability that cannot legally be excluded (including liability for fraud).

Subject to the above, we are not liable for indirect or consequential loss (including lost profit, lost data, or business interruption). Our total liability to you for any claim arising in a 12-month period is limited to the fees you paid us for AutOS in the previous 12 months, or NZ$100 if you paid no fees in that period.

You remain responsible for your workshop's customer relationships, invoices, tax, and regulatory obligations (including WoF/CoF and consumer law as they apply to your business).

Ending the service

Either party may end the arrangement by email to hello@agenticsystems.co.nz (or the contact on your commercial agreement). After termination, email us within 30 days if you need an export of your workshop data. After that period we may delete your data, subject to legal retention requirements.

Changes to these terms

We may update these terms by publishing a new version on this page. If a change materially reduces your rights, we will email the workshop address on the account before the change takes effect. Continued use after the effective date means you accept the updated terms.

Governing law

These terms are governed by the laws of New Zealand. The courts of New Zealand have exclusive jurisdiction, without prejudice to mandatory consumer protections that may apply to you elsewhere.
